Department Manager-Commercial Lines

Full-Time

Commercial Lines provides all internal and external customers of The Insurance Market with an excellent service experience by consistently (1) supporting the Company’s goals and mission, (2) following all Company policies and procedures, (3) providing quality customer service, and (4) following safety standards in performing all of the functions below.

 

Job Responsibilities:

  • All job functions of a CL Customer Service Representative and CL Administrative Person.
  • Participate in the recruitment and interviewing of customer service and marketing representatives.
  • Support of Management Initiatives - including participating in regularly scheduled meetings with Management.
  • Monitor morale with the department and facilitate team building exercises to improve morale and strengthen department.
  • Resolve customer complaints or answer customer's questions regarding policies and procedures.
  • Supervise the work of customer service and marketing representatives to ensure adherence to quality standards, deadlines, and other procedures.
  • Monitor customer service phone calls and and emails for quality assurance purposes.
  • Provide customer service representatives with guidance in handling difficult or complex problems and resolving escalated complaints or disputes.
  • Monitor workloads within the department and redistribute work when necessary.
  • Implement departmental policies, procedures, and service standards in conjunction with Agency Management.
  • Discuss job performance problems with employees to identify causes and issues and to work on resolving the problems.
  • Train and/or instruct employees in job duties or company poilicies.
  • Prepare and issue work schedules, deadlines, and duty assignments for customer service representatives.
  • Coordinate activities with other supervisory personnel or with other work departments.
  • Develop or update department procedures, policies and standards.
  • Design, implement, or evaluate staff training and development programs, customer service initiatives, or performance measurement criteria.
  • Participate in quarterly and annual reviews for customer service representatives.
  • Complete other duties as required by the Agency.

Job Requirements:

  • 5 - 7 years customer-service experience
  • Current Insurance License in Property and Casualty
  • Experience and expertise in operating in electronic environment; excellent automation skills, Outlook, Word, Excel, document management software, carrier proprietary systems, and phone systems
  • Excellent time management, organizational and verbal and written communication skills
  • High degree of self-motivation and self-direction
  • Strong leadership skills with the ability to unify and rally a team
  • Strong critical thinking skills with emphasis on judgement, decision making and problem solving
  • Ability to facilitate change with the agency
  • Strong customer service skills with ability to provide solutions to issues presented
  • Positive attitude

Education:

  • High School Diploma or general education degree (GED)
  • Insurance Industry Designation

Physical Demands:

  • A full range of body motion including manual and dexterity and eye-hand coordination.
  • Involves standing and walking for periods of time.
  • Requires normal visual acuity and hearing.
  • Frequent use of telephone, computer, and other office equipment.

Administrative Associate - Financial Services

Job Responsibilities:

  • Submit applications to carriers. Track and process all policies until approved and received.   
  • Handle billing inquiries from clients, this includes Pending cancellations, Payments and reinstatements of policies. 
  • Process all policy change requests for clients.  
  • Process and distribute existing client policy information received from carriers.   
  • Mail and follow up on life insurance review letters  
  • Quote new group and renewal group health insurance clients 
  • Assist with carrier commission input
  • Assist group benefit clients with employee enrollments or terminations 
  • Update monthly expiration lists in agency operating system
  • Maintain and expand relationships with existing clients
  • Provide exceptional customer service to clients
  • Complete other duties as required

Job Requirements:

  • 2-5 years customer-service experience
  • Experience and expertise in operating in electronic environment; excellent automation skills, Outlook, Word, Excel, document management software, carrier proprietary systems, and phone systems

Customer Service Representative-Personal Lines

  • Maintain client files and ensure proper documentation, by processing all policies, endorsement changes, invoices, binders, certificates of insurance, documentation, activities, etc., according to agency procedures, and within agency timelines
  • Respond to client inquiries, incoming e-mail, mail, and company requests in accordance with agency guidelines
  • Resolve policy/account billing issues.
  • Review all items to be processed, to insure items were received as ordered.
  • Participate in courses for insurance/sales skills. Maintain current knowledge of underwriting requirements of carriers. Keep current with industry trends by reading appropriate journals and company bulletins.
  • Maintain and expand relationships with existing clients
  • Provide exceptional customer service to clients
  • Complete other duties as required

Job Requirements:

  • Property and Casualty Insurance Broker's License (required for applying)

  • Review company download logs and move items from suspense as needed
  • Review and attach policy renewals
  • Review, attach and close activities for endorsements.
  • Fill in for Receptionist when needed
  • Maintain and expand relationships with existing clients
  • Provide exceptional customer service to clients
  • Complete other duties as required

  • Handle billing inquiries from clients, this includes Pending cancellations, Payments and reinstatements of policies. 
  • Complete Daily Transaction List 
  • National Grange Mutual (NGM) renewals 
  • Drivers List Updates 
  • Audit Reminder Letters 
  • Client Policy Binders 
  • Maintain and expand relationships with existing clients
  • Provide exceptional customer service to clients
  • Complete other duties as required
